Job Title: Accounting Assistant
Job Description
This role supports the accounting and billing functions by organizing backup documentation, performing accurate data entry, and assisting with general office operations. The Accounting Assistant ensures timely and precise processing of invoices, credit card statements, and daily mail while contributing to a well-organized and efficient workplace.
Responsibilities
- Prepare and organize backup documentation for billing invoices and credit card statements to ensure accurate and complete records.
- Enter financial data into the accounting system and perform data entry tasks in Excel with a high level of accuracy.
- Maintain organized filing systems for accounting and administrative documents.
- Pull and provide backup documentation needed for billing and related financial processes.
- Prepare and write up payment cover sheets to support accounts payable processing.
- Process daily incoming and outgoing mail to ensure timely distribution and dispatch.
- Answer phones on a light basis and route calls or take messages as needed.
- Create and maintain file folders for accounting and general office records.
- Track compliance with certificates of insurance and lien waivers and follow up as needed to maintain current documentation.
- Assist with ordering office supplies, including kitchen, bathroom, and general office items, to ensure adequate stock levels.
- Load and unload the dishwasher daily to maintain a clean and organized kitchen area.
- Collaborate with accounting and office staff to support accounts payable, accounts receivable, and billing activities.
- Demonstrate a proactive mindset by identifying additional tasks and asking how to assist further when primary responsibilities are complete.
Essential Skills
- Experience with data entry in accounting systems and spreadsheets.
- Hands-on experience with billing processes.
- Knowledge of accounts payable and accounts receivable functions.
- Experience or familiarity working in the construction industry.
- ERP system experience in an accounting or financial environment.
- Proficiency in Microsoft Excel, including performing calculations, using VLOOKUP functions, and creating or working with pivot tables.
- Strong organizational skills for filing and document management.
Work Environment
This position offers flexibility in hours and days worked while targeting approximately 40 hours per week. The role operates in an office environment that relies on an accounting system, ERP software, and Microsoft Excel for daily work.

Pay and Benefits
The pay range for this position is $25.00 - $28.00/hr.
