INTEGRATION MANAGER (OPERATIONS)

As we continue to grow and deepen our market presence, we are seeking an exceptional Integration Manager (Operations) to lead the seamless onboarding and integration of acquired practices, ensuring alignment with our clinical and cultural standards while supporting sustainable growth across the network.
Key Responsibilities
Operational Integration Planning & Execution
Own and execute the operational integration playbook for each newly acquired clinic, covering clinical operations standardization, workflow optimization, facility transition, staffing model alignment, supply chain transition, and vendor consolidation.
Build and maintain detailed 30/60/90-day operational integration plans for each acquisition with clear milestones for workflow adoption, operational staffing transitions, facility readiness, vendor onboarding, and operational metric alignment.
Coordinate operational integration workstreams with Clinical Operations, Facilities, HR, Finance, Procurement, and IT to ensure synchronized execution and operational continuity during transition periods.
Track operational integration progress against plan, proactively escalating workflow gaps, facility issues, staffing challenges, supply chain disruptions, or operational risks to leadership.
Operational Diligence Support & Risk Identification
Support pre-close operational diligence by gathering and synthesizing target-company operational data including clinical workflow processes, staffing models, facility capabilities and condition, lease terms, supply chain relationships, vendor contracts, operational metrics, and performance benchmarks.
Identify operational integration risks early (e.g., workflow incompatibilities, staffing model conflicts, facility condition issues, critical vendor dependencies, supply chain vulnerabilities, labor agreement complications, operational compliance gaps) and flag for leadership and legal review.
Collaborate with Clinical Operations, Facilities, and Finance leadership to translate diligence findings into actionable operational integration workplans with prioritized implementation timelines and risk mitigation strategies.
Clinical Operations & Workflow Standardization
Lead clinical operations integration including assessment of existing workflows, identification of standardization opportunities, and execution of IVI RMA operational standards and best practices at acquired locations.
Support development and rollout of operational process documentation, standard work procedures, and workflow training for acquired clinical operations teams.
Coordinate workflow transition planning to ensure minimal disruption to daily clinic operations and continuity of patient scheduling, lab operations, and embryology protocols during integration.
Drive adoption of IVI RMA operational processes and procedures at acquired locations while identifying valuable local innovations that can be retained or scaled network-wide.
Facility Management & Infrastructure
Manage facility integration including lease review and transition planning, facility condition assessment, capital improvement prioritization, facility standardization execution, and compliance with IVI RMA facility and safety standards.
Oversee build-out, renovation, and capital project coordination to bring acquired facilities up to IVI RMA specifications within established timelines and budgets.
Ensure acquired facilities meet IVI RMA operational standards, safety requirements, ADA compliance, and facility specifications for patient care delivery.
Coordinate with Facilities leadership on equipment inventory, asset management, and facility readiness for operational transition.
Staffing Model & Labor Management
Assess and align acquired clinic staffing models, staffing levels, and organizational structures with IVI RMA operational standards and labor models.
Support HR in coordinating staffing transitions including role realignment, job classification, compensation alignment, and benefits transition for operational and support staff at acquired locations.
Partner with HR and local operations leadership to identify staffing gaps, optimize scheduling models, and plan for retention-critical staff during integration.
Support labor relations matters, including coordination with union representatives (where applicable) and management of any labor agreement integration issues.
Vendor, Supply Chain & Procurement Management
Coordinate vendor transition and consolidation activities across clinical supplies, lab reagents, medical equipment, maintenance services, and operational vendors to achieve efficiency and cost alignment with IVI RMA standards.
Support identification of supply chain optimization opportunities, group purchasing power benefits, and cost reduction initiatives during integration.
Manage vendor transition timelines, ensure continuity of critical supplies, and establish contingency plans for mission-critical operational dependencies.
Support renegotiation of supplier contracts to achieve pricing alignment and service level agreement standardization across acquired locations.
Operational Performance & Quality Metrics
Establish operational performance baselines for acquired clinics and track key operational metrics (scheduling efficiency, patient flow, lab turnaround times, staff productivity, cost per patient, supply utilization) during and after integration.
Support identification of operational efficiency improvements and best practice opportunities from acquired clinics.
Work with Clinical Operations and Finance to develop performance dashboards and track progress toward operational metric alignment targets.
Operational Leadership & Team Onboarding
Serve as the primary operational liaison for acquired clinic and location leadership, building relationships and ensuring understanding of operational integration timelines, expectations, and support resources.
Partner with Clinical Operations leadership and HR to deliver clear operational messaging and training to acquired operations and support teams during transition.
Support operational team onboarding including process training, operational systems familiarization, IVI RMA standards documentation, and performance expectation alignment.
Lead operational kickoff meetings and integration readiness sessions at acquired locations to communicate timelines, responsibilities, and support mechanisms.
Reporting & Continuous Improvement
Maintain operational integration status reporting for Clinical Operations leadership and executive review, including progress on workflow adoption, facility readiness, staffing transitions, and vendor consolidation.
Document and maintain a running log of operational integration lessons learned, best practices, and process improvements to continuously refine the operational playbook.
Support the PMO in tracking operational integration execution against TOM and Transformation Program metrics, including post-integration operational performance benchmarking.
Qualifications
Required
4+ years of experience in healthcare operations, clinical operations management, or operations-focused M&A integration roles in multi-site healthcare settings.
Demonstrated experience managing operational integration across workflows, staffing models, facility management, and supply chain consolidation.
Strong understanding of healthcare operations, clinical workflows, facility management, and multi-site operational standardization.
Experience managing multiple concurrent operational workstreams with competing timelines and complex cross-functional dependencies.
Strong organizational and project management skills with ability to build operational playbooks, integration trackers, and performance dashboards.
Preferred
Experience in healthcare operations management, clinic operations, or facility management in specialty medical or multi-site healthcare environments.
Experience with operational workflow analysis, lean/process improvement methodologies, or operational standardization initiatives.
Experience in a private equity-backed healthcare environment with active acquisition pipeline.
Familiarity with healthcare facility standards, OSHA compliance, healthcare labor management, or healthcare supply chain management.
Background in clinical operations, medical practice management, or healthcare vendor/supply management.
Project management certification (PMP, CAPM) or Lean/Six Sigma healthcare experience.
