The Property & Lease Administration Specialist is responsible for administrative housing operations functions including lease administration, occupancy tracking, compliance documentation, reporting, recertification, and maintenance of housing records across all Agency-owned and affiliated properties.
Essential Duties & Responsibilities of the Property & Lease Administration Specialist :
Manages lease administration activities including new leases, lease renewals, residency agreements, recertification, and occupancy documentation.
Maintains digital and physical lease files, subsidy records, inspection reports, and tenant documentation.
Tracks rent, rental subsidies, vacancies, move-ins, move-outs, security deposits, and occupancy-related information.
Prepares compliance reports, occupancy reports, reconciliation reports, and other required departmental documentation.
Coordinates notices related to lease renewals, violations, recertification, rent increases, and tenancy matters.
Maintains landlord registrations and related housing documentation.
Tracks vacancies and communicates housing availability and occupancy updates with Admissions, Finance, Programs, and leadership.
Maintains records and documentation received from quarterly site visits, inspections, and compliance reviews.
Assists with audits, inspections, funding source reviews, and compliance requests.
Coordinates with funding sources, landlords, tenants, housing authorities, and outside agencies regarding occupancy and subsidy matters.
Assists with legal documentation and tenancy-related administrative processes as directed.
Enters and tracks maintenance requests and operational concerns as needed.
Participates in meetings, trainings, and Agency activities as required.
Ability to travel to various Agency sites and properties as required lift 50 lbs.

QualificationsQUALIFICATIONS
High School Diploma required; Associate or bachelor’s degree preferred. Experience may be substituted for education.
Minimum two (2) years of experience in lease administration, occupancy management, property operations, housing compliance, or related administrative field preferred.
Experience with leases, recertification, subsidy tracking, and compliance documentation preferred.
Strong organizational, computer, and record management skills required.
Ability to maintain confidential records and manage multiple deadlines.
Strong communication and interpersonal skills required.
Valid driver’s license from the state of current residence required.
Acceptable report from the Department of Motor Vehicles with five (5) or fewer points on driving record and no DUIs within the last three (3) years.
Minimum 18 years of age.
Ability to speak, read, and write the English language.
