The Accounts Receivable Specialist supports the dealership accounting department by accurately posting customer and third-party receivables, applying payments, reconciling accounts, and following up on outstanding balances. This position works closely with Sales, Service, Parts, Finance, and dealership management to ensure receivables are recorded correctly in CDK and resolved on a timely basis. Strong dealership accounting awareness, accuracy, and hands-on CDK experience are essential for success in this role.
KEY RESPONSIBILITIES
• Post and maintain accounts receivable transactions in CDK accurately and in accordance with dealership accounting procedures.
• Apply customer, warranty, fleet, wholesale, insurance, credit card, and other incoming payments to the appropriate accounts and repair orders.
• Monitor dealership AR aging and follow up on past-due balances, unapplied cash, short payments, chargebacks, and outstanding credits.
• Reconcile customer and third-party receivable accounts and research discrepancies between CDK records, supporting documents, and payments received.
• Work with the Service and Parts departments to resolve outstanding repair order, warranty, wholesale, sublet, and commercial account receivables.
• Work with Sales and Finance teams to resolve receivable balances related to vehicle deals, deposits, due bills, chargebacks, and other deal-related items as assigned.
• Monitor and clear contracts in transit, working with lenders and the F&I department to resolve funding delays.
• Process account adjustments, credit memos, write-offs, and corrections only with proper documentation and required management approval.
• Maintain accurate notes and supporting documentation for collection activity, account disputes, reconciliations, and outstanding items.
• Respond professionally to customer and internal department questions regarding account balances, invoices, payments, and discrepancies.
• Prepare AR aging reports, reconciliation schedules, collection updates, and supporting documentation for dealership management and month-end close.
• Assist with month-end and year-end accounting close, including clearing aged items and reconciling assigned general ledger and receivable accounts.
• Follow dealership cash-handling, accounting, internal control, documentation, and approval procedures at all times.
• Perform other dealership accounting duties and special projects as assigned.
REQUIRED QUALIFICATIONS
• Hands-on experience using CDK (CDK Global / CDK Drive) is required. Candidates must be comfortable navigating dealership accounting functions within CDK.
• High school diploma or equivalent required; associate or bachelor's degree in Accounting, Finance, Business, or a related field preferred.
• At least 1–2 years of accounts receivable, bookkeeping, collections, or accounting experience. Automotive dealership accounting experience strongly preferred.
• Working knowledge of accounts receivable, payment application, account reconciliation, general ledger activity, and basic accounting principles.
• Proficiency with Microsoft Excel, email, and standard office systems.
• Ability to research account discrepancies, work with supporting dealership documentation, and follow issues through resolution.
• Strong written and verbal communication skills with a professional customer-service approach.
• High level of accuracy, organization, confidentiality, follow-through, and attention to detail.
COMPENSATION & BENEFITS
Pay Range: $30.00 – $34.00 per hour ($62,400 – $70,720 annualized at 40 hours per week). Placement within the range is based on CDK experience, dealership accounting background, and demonstrated skill.
Additional compensation and benefits:
1. Quarterly performance bonus — $2,000 to $3,000 per quarter ($8,000 – $12,000 annually) based on a defined scorecard: contracts-in-transit cleared within target, AR over 60 days reduced, unapplied cash cleared, and schedules reconciled at close.
2. $2,000 retention bonus paid at 90 days of employment.
3. $2,000 retention bonus paid at 12 months of employment.
4. $500 per month medical benefit allowance ($6,000 per year) toward the individual health plan of your choice.
5. COBRA reimbursement — up to three months of COBRA premiums reimbursed for candidates leaving employer-sponsored coverage to join us.
