Administrative Assistant provides comprehensive administrative and operational support to the Physician Enterprise Coding Education and Health Information Management (HIM) Department and Director. This role is responsible for ensuring the efficient day-to-day operation of the department through coordination of meetings, management of schedules, preparation of correspondence and reports, maintenance of records, and support of departmental initiatives. The incumbent handles confidential and time-sensitive information with discretion, collaborates with internal and external stakeholders, and facilitates communication across multiple teams. The Administrative Assistant is expected to deliver high-quality administrative support while maintaining professionalism, accuracy, organization, and exceptional customer service.
Principal Accountabilities:
- Provides administrative support to leadership and staff within the Physician Enterprise Coding Education and HIM Department to support efficient daily operations.
- Coordinates and schedules meetings, training sessions, committee meetings, and appointments; manages calendars and maintains departmental contact lists.
- Prepares, edits, and distributes correspondence, reports, presentations, meeting materials, and other departmental communications.
- Answers and directs phone calls, monitors departmental mailboxes, and responds to inquiries in a professional and timely manner.
- Maintains departmental records, filing systems, and electronic documentation while ensuring confidentiality and compliance with organizational policies.
- Assists with invoice processing, expense reporting, budget tracking, purchase orders, and other administrative financial functions.
- Supports departmental projects, audits, educational initiatives, and operational activities through coordination, tracking, and follow-up.
- Coordinates travel arrangements, conference registrations, meeting logistics, vendor interactions, and related administrative activities.
- Assists with data collection, report preparation, spreadsheet management, and presentation development for leadership and departmental initiatives.
- Serves as a liaison between the Coding Education and HIM Department and internal and external stakeholders, maintaining effective communication and performing other duties and special projects as assigned.
Qualifications
Required:
1. High School Diploma or equivalent.
2. Minimum 2 years of experience in Business Administration or relevant area.
Preferred:
1. Bachelor's degree in Business Administration or related field.
