The Woodhouse Spa is seeking a friendly, organized, and detail-oriented Front Desk Coordinator to serve as the first point of contact for our valued guests. This role is responsible for delivering exceptional customer service while managing appointments, handling guest inquiries, and promoting spa services and retail products. In addition to front desk duties, this position supports overall spa operations by maintaining cleanliness and organization throughout the facility, assisting with light housekeeping tasks, and helping manage laundry and linen flow to ensure treatment rooms are properly stocked and prepared.
The ideal candidate has a background in sales and hospitality, thrives in a fast-paced luxury environment, and can confidently multitask while maintaining a polished, professional, and welcoming demeanor. Strong communication skills, attention to detail, and a team-oriented mindset are essential to ensure a seamless and elevated guest experience.
Key Responsibilities:
- Greet and welcome guests warmly upon arrival, ensuring a positive and inviting experience.
- Answer phone calls, respond to emails, and manage guest inquiries about services, products, and scheduling.
- Efficiently schedule and confirm appointments, handling bookings, changes, and cancellations.
- Promote and upsell spa services, treatments, and retail products.
- Maintain accurate records of guest preferences, transactions, and appointments.
- Process payments and balance the cash register at the end of each shift.
- Ensure the front desk area, lobby, and common spaces are clean, organized, and fully stocked with necessary materials.
- Support housekeeping and laundry operations, including monitoring linen inventory, folding towels/robes, restocking treatment rooms, and coordinating timely turnover of laundry.
- Maintain cleanliness and presentation standards throughout the facility, assisting with light cleaning duties as needed.
- Assist guests with special requests, ensuring all needs are met to create a seamless and luxurious experience.
- Stand and remain attentive throughout the shift, anticipating and addressing guest needs.
- Collaborate with spa therapists, housekeeping staff, managers, and other team members to ensure smooth daily operations.
- Handle guest complaints or concerns with professionalism and escalate issues to management as necessary.
Qualifications:
- Previous experience in hospitality, guest services, or luxury retail is required.
- Sales experience, particularly in a high-end or luxury environment, is highly preferred.
- Excellent communication, interpersonal, and organizational skills.
- Ability to remain professional, friendly, and calm under pressure.
- Must be able to stand and remain on your feet for the duration of the shift (8+ hours).
- Availability to work flexible hours, including evenings, weekends, and holidays.
