Accounting Specialist - Accounts Payable Focus

Woods Machinery is seeking an experienced and detail-oriented Accounting Specialist with a strong Accounts Payable background to support our growing finance team. This role is ideal for someone who thrives in a fast-paced environment, takes ownership of the A/P process, and has experience working with high-volume invoices and vendor relationships.

While this position provides some support to Accounts Receivable, Accounts Payable is the primary responsibility.

Key Responsibilities (Primary Focus:  Accounts Payable)

• Process, review, and accurately code a high volume of vendor invoices, purchase orders, and expense reports
• Prepare and process bi-monthly vendor check runs and electronic payments
• Reconcile vendor statements and resolve invoice discrepancies in a timely manner
• Maintain accurate A/P records and ensure proper documentation and approvals
• Communicate with vendors to answer questions, resolve payment issues, and manage account discrepancies
• Receive, review, and apply manufacturer-sponsored credits accurately
  

Secondary Responsibilities

• Generate and distribute customer invoices and statements
• Assist with A/R collections and follow up on past-due accounts as needed
• Set up and maintain customer accounts, credit terms, and refunds
  

Month-End and Compliance

• Assist with month-end and year-end close, including A/P and A/R reconciliations
• Support internal audits and ensure compliance with company policies and procedures
• Maintain accurate records within the company’s accounting system
  

Qualifications & Experience:

• 2+ years of hands-on Accounts Payable experience required (high-volume environment preferred)
• Experience processing invoices, managing vendor payments, and reconciling accounts
• Proficiency with accounting software and Microsoft Excel (VLOOKUPs, basic formulas a plus)
• Strong attention to detail with the ability to meet deadlines consistently
• Excellent communication skills and a professional, service-oriented approach
• Ability to work independently while collaborating effectively with internal teams
