Inductotherm Corp. has an exciting opportunity for an Executive Assistant to join our team in Rancocas, New Jersey.
Job Summary:
We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive administrative and strategic support to our Executive leadership team. The ideal candidate will have at least five years of experience supporting senior executives, possess exceptional organizational and communication skills, and demonstrate the ability to operate with a high level of professionalism, discretion, and initiative. This role requires a polished, resourceful, and detail‑oriented individual who thrives in a fast‑paced environment and can anticipate needs before they arise. Full-time position: may require occasional after-hours availability based on executive needs.
Supervisory Responsibilities:
This position does not have any direct supervisory responsibilities.
Duties/Responsibilities:
Manage complex calendars, scheduling, and coordination of meetings, appointments, and travel.
Serve as a trusted gatekeeper, prioritizing requests and ensuring efficient use of the executive’s time.
Prepare, review, and edit correspondence, presentations, reports, and other documents.
Handle confidential information with the highest level of integrity and discretion.
Coordinate and execute domestic and international travel arrangements, itineraries, and expense reporting.
Serve as the primary point of contact between executives and internal/external stakeholders.
Organize, prepare materials for, and take detailed minutes during meetings; track follow‑up items to completion.
Manage special projects, deadlines, and initiatives as assigned by executive leadership.
Maintain organized digital and physical filing systems, ensuring easy information retrieval.
Support preparation for board meetings, leadership meetings, and major company events.
Build strong relationships across the organization and with external partners.
Draft professional communications on behalf of executives.
Ensure timely and accurate flow of information to and from executive leadership.
Collaborate with cross‑functional teams to facilitate seamless operations.
Required Skills/Abilities:
Exceptional written and verbal communication skills.
Strong proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).
Proven ability to manage multiple priorities, meet deadlines, and stay organized under pressure.
High level of professionalism, confidentiality, and emotional intelligence.
Education and Experience:
Bachelor’s degree in Business Administration, Communications, or related field.
Experience in a corporate, fast‑paced, or high‑growth environment.
Minimum 5 years of Executive Assistant experience supporting senior-level executives.
Physical Requirements:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Required to sit for extended periods of time and frequently traverse the building.
Requires lifting, carrying, pushing or pulling light weights up to 30 pounds.
Must have neat business-like appearance.
Must have a valid driver’s license.
Must disclose any surgical implants, pins, braces or other devices that could be affected by induction fields.

Salary:
Salaries are based upon candidate experience and qualifications.
Salary Range: $4,700.00 - $7,500.00/month
Relocation:
Relocation assistance is not a negotiable benefit for this position.

Must be able to satisfactorily complete the Inductotherm Corp. hiring process requirements, which include drug testing, and a background check.
