Atlantic Health is seeking a highly organized and collaborative Physician Recruitment Specialist to support the recruitment and retention of top physician talent across our health system. This role plays an important part in creating an exceptional candidate experience by coordinating physician visits, recruitment events, conferences, and outreach initiatives. The Physician Recruitment Specialist will work closely with recruiters, clinical and administrative leaders, and external partners to ensure a seamless and efficient recruitment process. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced, relationship-driven environment.
Essential Duties and Responsibilities:
The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all-inclusive.
- Facilitate on-site visit for the physician candidates and spouse/significant other/family. This may include, but is not limited to, making arrangements for travel, lodging, welcome baskets, meals, developing itineraries for physician, confirming meetings with administration, physicians and other staff members and providing transportation (including flight, train, Uber or car service), as needed.
- Send post-interview evaluations to all participating interview panelists to collect feedback on candidate and share with physician recruiter.
- Develop and maintain post-visit evaluation to collect feedback from prospective physicians on how we can best improve/support their experience interviewing with our health system.
- Assist candidates with reimbursement process for incidental expenses incurred by candidate or spouse.
- Manage relationships and negotiate preferred rates with all relevant vendors including hotels, car service, catering, etc.
- Maintain comprehensive list of all upcoming physician visits and communicate regularly with physician recruiters to ensure expeditious scheduling for priority candidates / hard-to-fill positions.
- Manage coordination of exhibiting at national and regional conferences including but not limited to: completion of exhibitor applications, processing documentation to facilitate payment of exhibitor fee, working with Marketing to design and purchase relevant promotional materials (i.e. booth design, posters, fliers, postcards, and giveaways), secure rental of exhibit furniture, electricity, internet, as well as travel and accommodation for all attendees.
- Attend conferences, as needed, and staff the exhibit booth during designated hours to support identification of new physician prospects.
- Maintain accurate documentation of all expenses for physician visits and provide monthly reports to finance that outline said expenses.
- Support outreach to residents and fellows within Atlantic Health including coordination of on-site workshops, orientation welcome sessions and system-wide webinars.
- Manage or support management of physician recruitment events to connect graduating residents/fellows with employed Atlantic Health physicians as well as clinical and administrative leadership with the intent to recruit top physician talent.
- Regularly update physician database systems to ensure accurate information about visit expenses and help determine cost-per-visit rates.
- Participate in other duties and responsibilities as assigned to recruit and retain physicians.

- Ability to communicate clearly and professionally, and present Department in a positive manner.
- Excellent verbal and written communication skills, including superior grammar and proofreading skills.
- Excellent interpersonal skills with the ability to engage at all levels of the organization. Demonstrate a professional and adaptable demeanor with internal and external clients, including administrators, physicians, peers, and support staff.
- Exhibit a high energy level, and demonstrate the ability to work as a team, with flexibility in work habits to schedule and meet the needs of the medical staff.
- The ability to multi-task, plan and prioritize a large volume of detail-oriented work in accordance with changing deadlines.
- The ability to work with minimum supervision, set priorities, and follow through to accomplish results.
- Strong computer technology skills including, but not limited to, Microsoft Outlook, Microsoft Word, Excel, and PowerPoint.
- Demonstrated ability to conduct Internet research in an efficient, productive manner.
- Valid driver’s license required and means of transportation.
- High school diploma required, Bachelor’s degree preferred.
