Role Overview: TXG is seeking a highly organized and proactive Client Services Manager to support client services efforts across active projects and new biz efforts. Reporting to the VP of Client Services, this role will be a key driver across client comms, active project hand-offs, and agency growth initiatives (New Business, RFPs, and pitches).
The Client Services Manager will help keep opportunities moving from initial outreach or RFP intake through proposal development and into official project kick-off, ensuring internal teams are aligned, deadlines are clear, deliverables are completed, and no detail falls through the cracks. (We sweat the small stuff here!)
This person will work closely across TXG departments, including Creative, Design, Production, and agency leadership, to coordinate the many moving pieces required to develop thoughtful, competitive proposals and support proactive business development efforts through prospect research, competitive analysis, capes & creds materials, etc.
The ideal candidate comes from an experiential marketing agency environment and understands how these programs are developed, scoped, budgeted, and produced. They are an excellent communicator and writer, familiar with project management systems and CRMs, comfortable with a client-facing role, and naturally inclined to create structure, maintain systems, and keep teams moving forward. We may be enemies of ordinary, but there’s a lot of structure behind the scenes.
Key Responsibilities
RFP & Pitch Project Management
- Manage the day-to-day process for RFPs, RFIs, and new business opportunities from intake through proposal submission and project kick-off.
- Participate in client briefing and RFP intake calls, documenting requirements, deliverables, timelines, budgets, and key considerations.
- Translate client briefs and RFP materials into clear internal briefs, assignments, timelines, and workback schedules.
- Coordinate internal RFP kick-offs and ensure Creative, Design, Production, and other contributors understand responsibilities, deliverables, and deadlines.
- Build and maintain detailed workback schedules, proactively following up with internal stakeholders and identifying potential gaps or risks before they impact deadlines.
- Schedule and coordinate internal reviews, rehearsals, pitch meetings, and other key milestones throughout the proposal process.
- Maintain accurate, real-time status of active RFPs and new business opportunities within TXG's internal tracking systems.
- Coordinate the collection and organization of materials required for proposals, including creative concepts, production approaches, creds, case studies, team information, budgets, and supporting documentation.
- Support the development of initial scopes and budgets in partnership with Production, Client Services, and agency leadership.
- Support the transition of awarded opportunities into active production, ensuring project teams receive the appropriate background, documentation, scope, budget, and client context.
New Business Outreach & Growth Support
- Support proactive new business development by researching brands, industries, contacts, and potential agency opportunities.
- Help curate targeted prospect lists and outreach plans based on agency priorities, capabilities, industry trends, and upcoming opportunities.
- Support the VP of Client Services and agency leadership in preparing for capabilities meetings, introductory calls, and other prospective client conversations.
- Stay informed about experiential marketing trends, brand activity, tentpole events, and industry developments that may create opportunities for TXG.
Client Services Support
- Serve as a polished and professional point of contact for prospective and existing clients as needed.
- Participate in client calls, capabilities meetings, RFP briefings, and pitch presentations alongside the VP of Client Services and agency leadership.
- Draft client communications, follow-ups, meeting recaps, and other written materials with a high level of professionalism and attention to detail.
- Develop a strong understanding of prospective and existing clients' businesses, brands, objectives, and previous work with TXG.
- Help maintain continuity between the new business and active project phases by ensuring important client expectations, commitments, and context are clearly communicated to Production and project teams.
Process & Operations
- Maintain organized, accurate systems for RFPs, prospects, client information, case studies, and other Client Services and new business materials.
- Identify opportunities to improve RFP, new business, and Client Services processes and help implement more efficient ways of working.
- Maintain recurring Client Services and new business meetings as needed, including agendas, scheduling, meeting notes, action items, and follow-ups.
Skills & Qualifications
- 6+ years of relevant experience within experiential marketing, brand experience, events, or a similar agency environment.
- Direct experience managing RFPs, pitches, proposals, and/or other complex new business processes within an experiential agency environment.
- Exceptional organizational and project management skills, with demonstrated ability to manage multiple concurrent workstreams, stakeholders, deliverables, and deadlines.
- Extremely detail-oriented with a strong sense of ownership and accountability; someone who proactively follows up, anticipates needs, and does not allow details or deadlines to slip.
- Strong understanding of the experiential marketing process, including how Creative Strategy, Design, Production, Client Services, and agency leadership collaborate to develop and execute programs.
- Excellent written communication skills; confident and professional communicating directly with clients and senior stakeholders via email, phone/video calls, meetings, and presentations.
- Ability to translate client briefs and sometimes ambiguous information into clear internal direction, actionable next steps, and organized project plans.
- Experience developing and managing workback schedules and coordinating cross-functional teams against tight deadlines.
- Comfortable conducting prospect research and participating in thoughtful outbound business development efforts.
- Experience working with project management, CRM, or new business tracking platforms.
- Ability to work independently while knowing when to escalate questions, risks, or decisions to the VP of Client Services or agency leadership.
- Calm, flexible, and solutions-oriented when priorities shift or timelines become compressed.
- Collaborative working style and ability to build strong relationships across departments and levels.
- Experience with experiential project budgeting, scoping, or production budgets is a plus.
