ROLE SUMMARY
The AI Platform Manager is the operational owner and first-line subject matter expert for enterprise AI assistant products, including Microsoft 365 Copilot, Anthropic Claude, Google Gemini, OpenAI ChatGPT Enterprise and future approved platforms. The role combines platform administration, user and license management, product support, adoption, cost control, reporting, release management and risk coordination.
This position translates rapidly changing AI product capabilities into secure, supportable and practical services for employees. The Manager partners with Global Desktop Services, LAN/Identity, Cybersecurity, Data and Analytics, Legal/Privacy, Procurement and vendor teams to manage platform settings, identity integration, connectors, plug-ins and personal or small-group agents.
PRIMARY OUTCOMES
AI assistant platforms are securely configured, licensed, supported and operated using documented standards.
Employees and IT support teams receive timely, accurate assistance and education on approved AI assistant capabilities.
Leadership receives clear monthly reporting on licensing, utilization, adoption, cost, support demand, risks and product changes.
New features, connectors, plug-ins and agent capabilities are evaluated before enablement, with material risks raised for decision.
Licenses and spending are actively managed based on assignment, utilization, business need and approved budgets.
KEY RESPONSIBILITIES
AI Platform Administration and Service Operations
Administer approved enterprise AI assistant products, including tenant and workspace settings, administrative roles, user access, groups, entitlements and feature availability.
Provision, modify and remove user licenses and access in accordance with approved request, onboarding, transfer and termination processes.
Partner with LAN/Identity teams on single sign-on, identity federation, authentication, user lifecycle management, group-based assignment and role-based access controls.
Maintain platform configuration standards, operating procedures, support runbooks, decision records and an inventory of enabled capabilities.
Monitor service health, vendor notices, incidents and platform changes; coordinate escalation and remediation with vendors and internal support teams.
Serve as the first line of support for employee questions about approved AI assistants, including access, general use, feature behavior, prompts, agents, connectors and known limitations.
Triage incidents and requests, resolve issues within the role’s scope, document repeatable solutions and escalate identity, network, security, data or vendor defects to the appropriate team.
Support controlled pilots, production rollouts, feature retirement and service transitions through documented change-management practices.
Licensing, Usage, Cost Management and Reporting
Maintain accurate records of licenses purchased, assigned, available and reclaimed across AI assistant products.
Track product usage, active users, adoption patterns, support demand and available platform consumption or capacity measures.
Review underutilized or unused licenses and recommend reassignment, reclamation or purchasing adjustments based on approved policy and business need.
Monitor subscription, consumption and other product costs; reconcile available administrative data with procurement and financial records.
Prepare a monthly AI platform operating report for IT leadership covering licensing, utilization, adoption, cost, support activity, incidents, upcoming changes, open decisions and risks.
Work with IT Leadership and vendors on renewals, true-ups, forecasts, product changes and commercial questions.
Product Change and Executive Briefings
Monitor vendor roadmaps, release notes, administrative messages and product announcements for changes affecting users, administrators, security, privacy, integrations, licensing or cost.
Assess the enterprise relevance and operational impact of new features and identify required testing, communications, support preparation, governance review and configuration changes.
Create concise briefings for peers and IT leadership that explain what changed, who is affected, expected value, dependencies, risks, decisions required and recommended next steps.
Maintain a forward-looking release and change register for approved AI assistant platforms.
Connectors, Plug-ins, Integrations and Agents
Understand each platform’s supported connectors, plug-ins, extensions, tools and data integrations, including their administrative controls and prerequisites.
Perform structured evaluations of proposed connectors and plug-ins, including purpose, data sources, permissions, identity model, data flow, user population, vendor terms, logging, support model and disablement or rollback approach.
Configure and test approved connectors and plug-ins in a controlled environment before production enablement.
Identify and raise potential security, privacy, legal, data-governance, records-management, licensing, cost, support and user-experience risks before enablement.
Partner with Cybersecurity, LAN/Identity, Data and Analytics, Legal/Privacy and business owners to obtain required reviews and document decisions.
Guide employees and small groups in creating approved personal or small-group agents using supported no-code or low-code capabilities.
Test agent instructions, permissions, grounding sources, connectors, expected outputs, error handling and access boundaries; document ownership and support expectations.
Distinguish personal and small-group agents from enterprise applications or production automations and route higher-risk or broader-scope solutions through the appropriate architecture, development and governance processes.
Adoption, Training and Knowledge Management
Develop and deliver role-based education, demonstrations, office hours, FAQs, quick-reference guides and knowledge articles for approved AI assistant products.
Train IT service desk and desktop support staff on product capabilities, common questions, troubleshooting boundaries, escalation paths and new features.
Create train-the-trainer briefings for global IT peers and designated champions.
Coach users on effective prompting, verification of AI-generated content, appropriate handling of company information, use of citations or source references and human accountability.
Collect employee feedback and support trends; translate findings into training priorities, configuration improvements, knowledge content and adoption actions.
Measure adoption activities and report results using defined operational metrics.
Security, Governance and Risk Partnership
Implement approved platform security and governance settings under the direction of Cybersecurity and applicable policy owners.
Partner with Cybersecurity on administrative roles, access controls, data protection, retention, audit, logging, external sharing, model or feature controls and incident response considerations.
Partner with LAN/Identity on SSO, conditional access dependencies, account lifecycle, privileged administration and group-based access.
Escalate material risks, control gaps, unexpected product behavior, data exposure concerns or vendor changes promptly and with clear supporting evidence.
Assist with periodic access reviews, configuration reviews, control testing, audit requests and evidence collection.
Promote responsible use and ensure platform operations align with approved AI, information security, privacy, records-management and acceptable-use requirements.
REQUIRED QUALIFICATIONS
Bachelor’s degree in Computer Science, Information Systems, Cybersecurity, Data/Analytics or a related field, or equivalent practical experience.
Two or more years of experience in enterprise IT, SaaS administration, cloud platforms, end-user computing, identity, service operations or a comparable technical support function.
Hands-on administrative or operational experience with at least one enterprise AI assistant platform, such as Microsoft 365 Copilot, Anthropic Claude, Google Gemini or OpenAI ChatGPT Enterprise.
Experience with user administration, license management, SSO or identity integration, access controls, change management and production support.
Ability to analyze usage and cost data and produce accurate, concise monthly management reporting.
Experience creating technical documentation, knowledge articles, training materials and leadership briefings.
Working knowledge of security, privacy, data-governance and third-party integration concepts relevant to enterprise SaaS products.
Strong customer-service, troubleshooting, communication, organization and cross-functional collaboration skills.
PREFERRED QUALIFICATIONS
Experience administering two or more enterprise AI assistant platforms and comparing their administrative, security, licensing and integration models.
Experience with Microsoft Entra ID or comparable identity platforms, including SSO, groups, enterprise applications and role-based administration.
Experience evaluating or enabling connectors, plug-ins, APIs, extensions or agent tools in an enterprise environment.
Experience creating and supporting no-code or low-code personal and small-group agents.
Familiarity with IT service management, software asset management, vendor management, financial tracking and adoption analytics.
Experience supporting a geographically distributed, multi-business-unit organization.
Relevant vendor, cloud, security, IT service management or AI administration certifications.

Salary: $120,000 - $140,000
Compensation: In addition to base pay, eligible for discretionary bonus based on company and individual performance.
