About the Role
This position is responsible for contributing to efficiency of a department by performing various analytical, project and administrative functions. This position will interface with all leaders and staff, may also interact externally, and will be responsible for tracking and coordinating activities, reports, work group progress, key initiatives and deliverables.
What You'll Do
Responsibilities:
- Handles multiple priorities with urgency and interfaces with senior leaders on a regular basis. Anticipates needs of the director with a high level of self-direction.
- Responsible for project and/or committee administration - schedules meetings, prepares agendas, documents follow up items and follows-up, creates and maintains upload of documents to Share Point Site.
- Proactively works to resolve a broad range of administrative and project related inquiries and initiatives and keeps the director & committee members current on all matters. Tracks, trends, and compiles data and reports.
- Takes minutes at direct report and project meetings; distributes to staff accordingly; ensures follow up is completed on action items and key decisions are recorded in the appropriate documentation formats. Serves as a liaison to ensure timely implementation of departmental and/or division projects and activities. Functions as a central coordination point.
- Provides administrative support such as answering telephones, reviewing and responding to incoming and outgoing correspondence, calendar management, and travel arrangements. Coordinates vendor visits and materials.
- Prepares presentations with input from several sources and ensures timely and flawless execution.
- Prepares staff listings on various issues; coordinates recruitment interviews for high level candidates. Coordinates new employee departmental on-boarding and location activities including office space planning and equipment requests.
- Prepares and reconciles departmental administration expense accounts within the established budgetary constraints.
- Other duties as assigned.
What You Bring
Education/Experience:
- High School Diploma/GED required.
- Requires three (3) years work experience in related field, preferably in an administrative function.
Additional licensing, certifications, registrations:
- IAAP Certification preferred
Knowledge:
- Knowledge of MS Project is preferred
- General knowledge of health insurance industry preferred
Skills and Abilities:
- Requires proficiency skills in MS Office Suite, including Word, Excel, and PowerPoint.
- Proven analytical skills
- Proven ability to exercise sound judgment.
- Proven ability to ask probing questions and obtain thorough and relevant information.
- Must be detail oriented with strong organizational skills.
- Proven ability to follow detailed instructions is essential, along with proven problem solving skills.
- Demonstrates flexibility and adapts to multiple responsibilities encompassing multiple areas within the organization.
- Must demonstrate the ability to effectively present information and respond to questions from groups of managers, clients, customers.
- Must have effective verbal and written communication skills and demonstrate the ability to work well within a team.
- Able to interact and create positive working relationships with all levels of internal and external constituents and staff.

Salary Range:
$50,100 - $67,095
This compensation range is specific to the job level and takes into account the wide range of factors that are considered in making compensation decisions, including but not limited to: education, experience, licensure, certifications, geographic location, and internal equity.
