REPORTS TO: Assistant Director of County Adult Career Initiatives
PRINCIPAL RESPONSIBILITIES:
1. Reviews applications, reports, and other documents for accuracy and completeness. Refers to supervisor when necessary.
2. Opens, date stamps, and distributes mail.
3. Prepares correspondence and reports.
4. Completes paperwork as directed.
5. Provides program information and eligibility requirements in person, over the phone and through e-mail.
6. Supports staff of the Opportunity Youth Program, as well as the Adult and Dislocated Workers Program.
7. Answers phone and distributes messages.
8. Maintains mailing lists of participants and community partners.
9. Assists with preparing and verifying youth payroll.
10. Maintains records and files.
11. Orders, stores and distributes office supplies.
12. Assists with proctoring Basic Skills tests.
13. Utilizes electronic and manual recording systems.
14. Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
• High school diploma or equivalent
• Three (3) years of experience as an administrative assistant in a busy office
• Proficiency in Microsoft Office (Word and Excel)
• Driver’s license and reliable transportation
PREFERRED QUALIFICATIONS:
• Associate degree
• Ability to deal positively with a diverse population
• Excellent phone and organizational skills; strong interpersonal and communication skills and the ability to make independent decisions
SUPPLEMENTAL INFORMATION:
Duration: Until 7/31/2027, with the potential to extend beyond this date, contingent on funding
Locations: New Brunswick and Perth Amboy Sites
Schedule: Monday to Friday, 8:00 a.m. – 4:00 p.m. (1/2-hour lunch)
This is a specially funded position, dependent for its existence upon federal, State, or other non-College operating funds, and is not funded pursuant to the regular College budget. Continued employment is always contingent upon satisfactory performance and College needs. Grant funded positions are also contingent upon continued funding. This appointment is for the specified period only. Employment beyond the expiration date of the grant is subject to appropriate provisions of existing collectively bargained agreements in effect at the time for employees covered by those agreements.
