ADMINISTRATIVE SECRETARY – ACCOUNTS PAYABLE

 

QUALIFICATIONS:

  1. High School Diploma
  2. Ability to function successfully in an administrative office.
  3. Excellent secretarial skills including proficiency in computer literacy and record keeping along with strong analytical, communications, and organizational skills.
  4. General understanding of the district’s administration, organization, rules, regulations, and practices.

REPORTS TO:         
Administrator in charge of office

 

JOB GOAL:              
To perform secretarial tasks for the administrator.

 

PERFORMANCE RESPONSIBILITIES:

  1. Types correspondence, reports, notices and other material as required.
  1. Obtains, gathers and organizes pertinent data as needed and puts it into usable form.
  1. Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as instructed.
  1. Places and receives telephone calls and records messages.
  1. Orders and maintains supplies as needed.
  1. Performs any record keeping tasks associated with the specific position.
  1. Maintains a schedule of appointments and makes arrangements for conferences and interviews.
  1. Receives and compiles vendor invoices for payment.
  1. Reviews purchase order and compares to invoices for any discrepancies.
  1. Discuss discrepancies with the Purchasing Department when necessary.
  1. Maintains timelines for Board of Education vendor bills list at monthly meetings.
  1. Completes check disbursement as approved by the Board of Education.
  1. Performs other tasks as may from time to time be assigned by the administrator. 

SALARY:                             

$40,000

 

BENEFITS:                         

Full Time Staff are eligible for Medical, Prescription, Dental and Vision Benefits.  Sick, Personal and Bereavement Days are included.

TERMS OF EMPLOYMENT:
12 Months

 

VACATION:              
As per current district vacation policy.

 

EVALUATION:

Performance of this job will be evaluated annually in accordance with provisions of the Board’s policy of Evaluation of Personnel.
