    QUALIFICATIONS:

    • High School diploma
    • Experience in general secretarial and office operations
    • Proficient with numerical applications, record keeping, and data analysis
    • Able to problem solve and adapt to situations and tasks
    • Computer proficiency in Google Suite, Microsoft Office, Canvas, and CSI (preferred)
    • Experience in public education preferred
    • Ability to handle confidential matters, set priorities, and work well under pressure with an attention to detail


     
    PRIMARY FUNCTION: To serve as the confidential assistant to the Director of Curriculum and Instruction & the Director of Special Education
     
    REPORTS TO: Director of Curriculum and Director of Special Education
     
    MAJOR DUTIES AND RESPONSIBILITIES:
    Director of Curriculum & Instruction

    • Answer incoming calls and handle questions from the public, outside agencies, staff, and take reliable messages
    • Explain procedures to staff and parents, and resolve routine matters based on general knowledge of District policies and procedures
    • Assist in the coordination of the preparation and dissemination of program-related literature and publications
    • Support the director in the coordination of all aspects of state grants
    • Support the director in the coordination of the Title I tutoring program
    • Support the director in the School Choice Program� organizing lottery and waitlist, monitoring waitlist and contacting waitlist parents; coordinating with school student registration
    • Support the director with the observation and evaluation process - scheduling and reports
    • Maintain a schedule of appointments and meetings for the Director
    • Assist the director in the development and implementation of in-service programs and professional/staff development experiences for all professional staff;
    • Assist the director with the coordination of New Teacher Orientation and the Novice Teacher Mentoring Program in accordance with New Jersey standards and regulations
    • Assist the director with the preparation of purchase orders, payment authorizations, and the departmental budget
    • Submit curriculum and instruction board agenda items for approval
    • Maintain records and accounting for summer programs
    • Maintain physical and computerized departmental files
    • Assist with the coordination of a curriculum review process that utilizes multiple measures of data to study, research, recommend, and evaluate existing and new programs for modification and implementation
    • Perform specialized and confidential assignments as required, including other tasks related to the efficient operation of the Curriculum office


     
    MAJOR DUTIES AND RESPONSIBILITIES:
    Director of Special Education

    • Assist the Director of Special Education in administrative tasks, including scheduling meetings, planning special education events, observations, and screening incoming calls/emails
    • Serve as a point of contact for parents, staff, and outside agencies
    • Facilitate communication between the Director, district administrators, service providers, and school teams
    • Type correspondences, notices, and reports, verifying accuracy and maintaining confidentiality
    • Monitor deadlines for state and federal reporting requirements to support timely submission
    • Assist in compiling pertinent data and preparing various federal, state, and local reports, following administrative code and board policy
    • Update databases and information systems related to special education services and staffing
    • Compile data for program reviews and implementation, board agendas and reports, and grant applications
    • Support staff onboarding by preparing materials and coordinating required documentation
    • Track payroll, timesheets, and service logs for special education staff and contractors
    • Assist with resolving logistical issues related to staffing, scheduling, and student services
    • Process purchase orders, budget requests, and invoices
    • Order supplies and instructional materials
    • Support the planning of professional development sessions for special education personnel
    • Perform specialized and confidential assignments as required, including other tasks related to the efficient operation of the Child Study Team office
