    The Black Horse Pike Regional School District has an opening for a Child Study Team Secretary at Triton for the 2026-2027 school year.

     

    Qualifications

    1. Must possess a High School Diploma or GED.
    2. Knowledge of current computer software and office equipment.
    3. Proficient in Genesis, SEMI Medicaid programs, Frontline IEP.
    4. Good communication skills in dealing with students, parents, school staff, and the public in general.
    5. Ability to work well with others.

     

    Reports To           Supervisor of Special Education and Building Principal

     

    Job Goal               To ensure the efficient operation of the Child Study Team by maintaining accurate, organized files and consistently meeting all                                    required timelines and deadlines.

    Performance Responsibilities

    1. Managing timelines and deadlines to facilitate the timely scheduling, preparation, and completion of all CST meetings and processes.
    2. Ensure all required documentation is completed and filed in compliance with district, state, and federal regulations.
    3. Ensure the accuracy of the Special Education information in the Student Information System (Genesis) by reviewing and correcting all errors identified in the daily error report.
    4. Ensure/maintain SEMI compliance, including logs and data entry.
    5. Prepare/Maintain student confidential paper and digital files in-house and out-of-district.
    6. Prepare/Maintain the Special Education students' paper and digital records updated with special concern for confidential reports such as Psychiatric, Socials, Psychological and Learning, these may include regular education students in accordance with district procedures and NJDOE requirements. Files are reviewed by Auditors.
    7. Communicate the need for coverage for teachers with the main office and supervisor. Ensure that coverage (subs) is secured for teachers for Annual Review/IEP, Eligibility, Manifestation, Review/Revision and Re-evaluation meetings.
    8. Arrange all transportation for out of district students, MD students, ESY students, community-based instruction and field trips.
    9. Compose and handle routine correspondence as directed.
    10. General office responsibilities, including but not limited to, preparing written notices for parents/students, mail, answering phones, scheduling meetings, email, copying, faxing, scanning, laminating, filing, uploading documents, and other various tasks.
    11. Maintain contact with other school districts in order to update information, request files or send files.
    12. Prepare and maintain tracking spreadsheets for referrals and evaluations.
    13. Coordinate and order special needed supplies (i.e. slings, book stands, etc.). Submit vouchers for supply orders.
    14. Prepare/create programs/certificates for Special Education activities.
    15. Coordinate related services.
    16. Coordinate purchase/repair of specialized equipment (per IEP).
    17. Prepare/maintain confidential staff files for the department.
    18. Organize/distribute Special Education supplies.
    19. Maintain confidential office and communication.
    20. Monitor student log-in/out of the CST office.
    21. Perform all other duties as assigned.

    Salary commensurate with experience, based on the District Salary Guide - $39,000-$77,611.
