We are seeking a dedicated and detail-oriented Paralegal/Office Manager to join our dynamic legal team. The ideal candidate will have strong phone skills, prior office assistant experience, and be a reliable team player who can multitask effectively and wear many hats. Responsibilities include maintaining organization, preparing files for attorneys, reviewing discovery (evidence), managing case files, overseeing support staff, and more.
Bilingual proficiency in Spanish is not required but preferred; however, if the candidate speaks Spanish, they must be fluent in speaking and proficient in reading and writing. This role is essential for supporting attorneys with a variety of administrative and legal tasks to ensure the smooth operation of our practice.
This position also serves in a managerial capacity, helping oversee office workflow, assisting in supervising support staff, and ensuring daily operations run efficiently.

Paralegal / Office Manager Responsibilities
- Review discovery (evidence), maintain and organize discovery; track logs.
- Answer phones, take accurate information, and direct the calls or messages to the appropriate person.
- Manage existing and new clients.
- Print, save, and organize documents for case files.
- Assist in drafting, reviewing, and organizing correspondence.
- Maintain case files and ensure all documentation is accurate and up to date.
- Coordinate schedules, appointments, and meetings for attorneys while effectively managing deadlines.
- Communicate with clients/family members and other parties involved in cases to gather information and provide updates.
- Filing and preparing/organizing files for upcoming events.
- Maintain and manage calendaring.
- Schedule legal visits with clients and telephone calls; attend jail visits to meet with clients.
- Assist with trial preparation and other court/jail visitation events.
- Supervise and coordinate tasks among paralegals and support staff.
- Help manage office workflow, ensuring tasks and deadlines are properly assigned and completed.
- Provide guidance and support to staff regarding case management procedures and office processes.
- Assist with onboarding and training new staff members as needed.
Experience
- Previous experience as a paralegal or legal/office assistant within a busy law firm is preferred.
- Knowledge of criminal law is advantageous but not required.
- Prior experience in a supervisory or leadership role within a legal office is preferred but not required.
