Job Description
The Administrative Assistant (AA) supports the church staff in the office’s daily activities, ministry, and events.
Objectives Of This Role
The AA shall have a heart for knowing God personally, for following Christ as a servant, and for keeping in step with the Spirit. The AA shall see the church office as a means for assisting the Stone Hill Church congregation to fulfill God’s plan as it continues to expand and minister in the Princeton area. S/he provides administrative support to ensure the efficient operation of the church office. This includes, but is not limited to, serving as the eyes and ears of the office, providing information, answering questions, and responding to requests; and ensuring optimal use of office equipment, supplies, and inventories through preventive maintenance. We are a religious organization, and this individual’s job involves explaining our religious beliefs.
Essential Responsibilities and Duties
General administrative and office reception duties
Manages incoming mail, meeting logistics, and prepares correspondence. Maintains and orders supplies and works with office equipment vendors. Maintains the integrity of the data in the church management system (ChMS) and uses the ChMS for ministry purposes. Assists with event support such as scheduling, communications, set up, and breakdown, preparing materials, and catering. Warmly greets visitors at reception, covers phones, responds to routine inquiries, and takes messages. Collaborates with staff, ministry leaders, and lay volunteers to carry out ministry goals, strategies, and priorities.
Activities may include, but are not limited to:
- General office support and administrative duties, e.g., collect and distribute mail and packages; preparation of correspondence; manage meeting logistics, etc.
- Warmly greet visitors at the front desk, cover phones, respond to routine inquiries, and take messages
- Ordering supplies and working with office equipment vendors (i.e., printers, etc.)
- Keeping the office database up to date and organized
- Assisting with event support, preparing event materials, event setup, and breakdown
- Scheduling, room reservation, and catering
- Maintain/clean/restock the staff kitchen and workroom areas
- Function as the point of contact for the congregation for general inquiries

- Invest in and invite others to know Jesus and come to Stone Hill Church
Spiritual
- Be a believer of Jesus Christ with a desire to humbly serve the Lord.
- Agree with the doctrinal statement, mission statement, staff covenant, programs, and practices of Stone Hill Church of Princeton.
- Be a follower of God with a desire to humbly serve the Lord, often in a behind-the-scenes capacity.
Education
A minimum of an associate degree from a recognized college or university (or equivalent vocational degree).
Experience
Prior experience in an administrative or ministry setting is a plus.
Knowledge, Skills, and Abilities
- Ability to interact with people at all levels of the organization in a professional and courteous manner. Ability to facilitate connections between staff ministry leaders and lay leaders. Respect the confidentiality of matters made known in the course of our ministry.
- Ability to speak, read, and write English fluently and grammatically. Strong oral and written communication skills.
- General computer literacy, typing skills, and proficiency with desktop computing tools such as Google Workspace and Microsoft Office. The ability to quickly grasp new digital tools.
- Performs routine office tasks and uses office technology competently, is willing to troubleshoot when necessary. Creative and flexible problem solver.
- A cooperative, helpful, patient attitude that recognizes the main supportive function of the role.
- An ability to lead as a servant, displaying a team spirit. An ability to be flexible regarding elements of the job and time commitments.
- A demonstrated ability to multitask. Detail-oriented with strong time management and organizational skills. Strong work ethic, with a high degree of personal responsibility and reliability
- Ability to take direction, but also work independently, take ownership of complex projects, manage shifting priorities, and meet deadlines.
Reporting
The AA shall report to a member of the executive staff. The AA, like all other staff, is ultimately accountable to the Board of Elders. The Board of Elders may change reporting relationships at its discretion.
Working Conditions | Schedule
Up to 20 hours per week, non-exempt, hourly.
