About the Role:
The Medical Reception Call Center 2 role is pivotal in ensuring seamless communication between patients and healthcare providers within a busy medical environment. This position focuses on managing inbound and outbound calls with professionalism, accuracy, and empathy to facilitate appointment scheduling, patient inquiries, and information dissemination. The role requires handling sensitive patient information in compliance with healthcare regulations, maintaining confidentiality at all times. The successful candidate will contribute to enhancing patient satisfaction by providing timely and clear communication, resolving issues, and coordinating with medical staff as needed. Ultimately, this role supports the operational efficiency of the healthcare facility by acting as the first point of contact and a reliable liaison between patients and medical teams.
Responsibilities:
- Answer and manage a high volume of incoming calls from patients seeking appointments, information, or assistance.
- Schedule, reschedule, and confirm patient appointments accurately using electronic health record (EHR) systems.
- Provide clear and courteous communication regarding office policies, procedures, and patient instructions.
- Maintain patient confidentiality and comply with HIPAA and other relevant healthcare regulations.
- Coordinate with medical staff to relay messages, update patient records, and ensure smooth patient flow.
- Handle patient inquiries and concerns with empathy, escalating complex issues to supervisors or clinical staff as appropriate.
- Document call details and patient interactions thoroughly and accurately in the system.

Minimum Qualifications:
- High school diploma or equivalent.
- Experience in a medical reception or call center environment.
- Familiarity with electronic health record (EHR) systems and appointment scheduling software.
- Strong communication skills, both verbal and written.
- Basic knowledge of healthcare terminology and patient privacy regulations (HIPAA).
Preferred Qualifications:
- Experience working in a healthcare call center or medical office setting.
- Proficiency with multiple EHR platforms and call center technology.
- Bilingual abilities, especially in Spanish or other commonly spoken languages in the U.S.
- Certification in medical office administration or customer service.
